CANCELLATION, RESCHEDULING & BILLING POLICY

At The Golden Voice, we’re committed to a high-end, personalized experience that respects your time and supports your growth. This policy ensures smooth scheduling and protects everyone’s time investment. By enrolling in lessons, you agree to the following:

1. Billing Cycle & Autopay

  • Clients are billed on the 1st or 15th of each month, and billing cycles run from that date through the end of the period (either the 1st–end of month, or the 14th of the following month), depending on your enrollment date.
  • Autopay is required for all regular students (monthly and bi-weekly).

2. Cancellation & Reschedule Credits

We understand that life (and travel) happens. That’s why we offer flexibility—with structure.

  • If you need to cancel or reschedule a lesson we ask for a minimum of 24 hours notice. Your lesson will not be refunded, but you will have a lesson credit to use within the same billing cycle.
  • Changes inside of the 24 hour window will still receive a makeup credit but will incur an additional $150 late rescheduling fee.
  • Lessons not rescheduled within the billing cycle are forfeited — no exceptions.
  • If you’re sick but well enough to meet, we can shift to a Zoom-based non-singing session (e.g., Artist Development, Songwriting, or Peak Performance Coaching) to avoid the fee.
  • True emergencies (e.g., hospitalization, natural disasters) are handled case-by-case.

3. Using Your Lesson Credit

  • The instructor does not handle rescheduling. Students must reschedule their own lessons through the My Music Staff portal here: https://thegoldenvoice.com/login.
  • After logging in, you will see a number of available time slots that you may book. If you do not find a time within the billing cycle, the makeup credit will expire. So if you want to use your makeup credit, please make sure there is a time available before you cancel. Available time slots are marked with icons. A House 🏠 icon means a lesson that is either in person or on Zoom (students choice, please let us know when rescheduling), a Camera 🎥 icon means Zoom only.
  • The calendar shows real time availability and looks several months ahead. Note that rescheduling your lesson outside of your current billing cycle triggers an automatic charge for an additional session.

Need help using the portal? Just ask—we’re happy to help.

4. Failed Appointments & No-Shows

Failed appointments incur the full lesson fee with no refunds or makeup credits. A “failed appointment” includes no-shows (no communication), same-day cancellations without a true emergency, or arriving over 10 minutes late.

5. Right to Discontinue

The Golden Voice reserves the right to pause or end services at any time, for any reason. This may include ongoing scheduling issues, non-payment, or anything that makes continuing unworkable. If the fit no longer feels aligned, we’ll always do our best to part on a high note.

6. Late Payment Policy

Invoices are due by 11:59 PM on the billing date. If payment isn’t received by then, a $35 late fee applies and lessons will be paused until the balance is cleared.

If you foresee a delay, just let us know in advance. Communication keeps everything running smoothly.

7. Student Portal

You may login to check the status of your account, your payment history, update payment methods and see how many lessons you have scheduled in our student portal. Access the portal here.

8. Recording

Zoom sessions may not be recorded by either party without prior permission. In general it is never permitted. Audio is, however permitted only when you ask permission before each session.

9. Liability

Neither the Instructor, nor any affiliated parties, shall be held liable for any direct, indirect, incidental, special, consequential, or exemplary damages, including but not limited to damages for loss of profits, goodwill, use, data, or other intangible losses. This includes any potential injuries or damages sustained by the Student during their participation in any lessons or activities, or as a result of being on Zoom or on the premises of the Instructor’s house or studio. By agreeing to these policies, the Student acknowledges the inherent risks associated with the lessons, understands the nature of potential hazards in the Instructor’s house and studio, and hereby releases and discharges the Instructor from any and all claims, demands, and causes of action arising out of or in connection with the Student’s participation or presence on the premises.

10. Electronic Signature

Your payment serves as the parent/students electronic signature agreeing that they acknowledge and understanding the policies, and binding them to this agreement and these policies.
